Overview of User Types & Permissions

Typical User Types in PrintSF Deployments

 

Most often, PrintSF deployments involve up to 3 types of Users with varied permission needs.  These include:

 

1-to-1 Only User:  This type of SFDC User will only interact with PrintSF clicking in from the Lead or Contact page(s) to send 1 mailer at a time.  They will step through a 2 page wizard then submit and land back on the Lead or Contact page.  1-to-1 Only Users should have view permissions to see Collateral Order & Mailer History records, and will want to see the Mailer History Related List under Leads & Contacts.  They will also want to see the Mailer History Tab to see all their Mailers sent in the aggregate (across ALL Leads/Contacts).  However, the 1-to-1 Only User does NOT need access to the full PrintSF Custom App in the App pick list, nor do they need access to the PrintSF main (Visual Force) tab which steps into PrintSF's full site.  Again, the 1-to-1 User's only interaction with PrintSF is to (i) send 1 at a time from Leads/Contacts, and (ii) review Mailer History directly at the Lead/Contact Mailer History Related List, or in the aggregate under the Mailer History Custom Object Tab.

 

Full Site User:  This type of SDFC User may need the 1-to-1 sending permissions described above, but also needs broader access to the full PrintSF site, including access to the Collateral Library, Mail List Management, Media Library and other functions available under the main PrintSF Tab.  The Full Site User, in addition to the permissions above, will want the PrintSF Custom App visible from the App pick list, and access to the PrintSF Tab.

 

Sync User:  To enable PrintSF to sync reporting & tracking data to our Collateral Order and Mailer History Custom Objects, a single SFDC User's credentials will be input and saved to PrintSF.  PrintSF will use the credentials in a recurring, scheduled sync process to automatically establish a session with your instance of Salesforce and insert or update records in our 2 custom objects.  Most often organizations simply use the credentials of a SDFC Admin, which will provide PrintSF all needed permissions to perform the sync.  However, some organizations use a non-Admin User - such as a common "Integrations User" used across multiple 3rd party app integrations - and in this case certain key permissions will need to be granted to the Sync User to support the sync process.  These include the Systems Permissions of "Run Flows" and "Modify All Data" on several objects, which is needed because the Sync User will be the one triggering any Process Flows upon Mailer History insert/update, and these Flows may update Leads or Contacts owned by many different Users, add Tasks or trigger email alerts, trigger adding of Campaign Members, change Campaign Member Status or other custom automations.  For these reasons, granting the Modify All Data permission on select objects assures the avoidance of future errors when Process Builder Flows and/or Workflow Rules are triggered.
